Setup must be complete by 5:15 PM.
- 3:00 PM
Supply pickup.
Volunteers with cars or trucks collect decor, signage, and supplies and transport them to the venue.
The Underline Gym has a drop-off zone for loading in. Please arrive early to use it, as vehicle access will close later. If you arrive after access closes, please bring your supplies in on foot using a wagon. A map will be provided to help you find the drop-off zone.

Setup begins.
All setup must be complete by 5:15 PM.

Team arrival & huddle.
BHA leaders and the Welcome team gather for final table checks and a quick team huddle. Sponsor staff arrive at 4:45 PM to set up their tables.

Doors open.
Guests arrive for crafts, treats, face painting, and sponsor stations.
- 6:00 PM
Welcome show & conga line.
Then giveaways and activities run through the evening.
- 7:30 PM
Doors close.
The Underline handles venue cleanup; our crew collects every BHA and vendor item. Bring a wagon.

This is the schedule for staff working at their organization’s own sponsor table. The volunteer shifts are separate roles supporting the whole event.

What to bring
Assign staff ahead of time to help deliver your supplies and staff to run your station during the celebration.

- Candy and snacks for your table
- Your table activations and all supplies needed to run them
- A wagon to transport your items during setup and load-out

Event setup begins
The Setup Crew prepares tables and signage and directs arriving vendors to their assigned spaces.

Sponsor staff arrive
Check in with the event team, find your assigned table, and set up your banners, candy, snacks, and table activation. Join the team huddle at 5:00 PM.

Complete your table setup and have your materials and giveaways ready before doors open.

Bring the muscle and help us get ready! Pick up two 5-gallon containers of water from Publix, help set up stations, tables, tablecloths, and signage, and guide vendors to their assigned spots.

When and where is the celebration?
Friday, October 30, 2026, from 5:30 to 7:30 PM Eastern at The Underline Gym in Brickell. Volunteer shifts begin as early as 3:00 PM, and load-out continues until 8:30 PM.
When should I arrive?
Volunteers should arrive for the start of their selected shift. Event setup begins at 4:00 PM. Sponsor staff arrive at 4:45 PM, join the 5:00 PM huddle, and have their tables ready by 5:15 PM.
How do I sign up for a volunteer shift?
Choose a role under open volunteer shifts, then complete the sign-up form with your name, email, group, and preferred shift. Phone is optional. BHA will follow up by email to confirm your shift.
Are the spot counts live availability?
No. The counts show the staffing target for each role. BHA will confirm your assignment by email after you sign up.
Is staffing my sponsor table a volunteer shift?
Sponsor-table staffing follows the sponsor team schedule. Coordinate coverage with your own team. If you would also like to help with an event-support role, select a volunteer shift and choose “Sponsor” as your group.
What should sponsor teams bring?
Bring your pull-up banners, candy, snacks, table activations, and all supplies needed to run them. Bring a wagon to transport your items during setup and load-out. You can download the sponsor schedule and checklist.
Do I need a car, truck, or camera?
Supply Pickup volunteers need a car or truck to transport event supplies. Photo & Social Media volunteers should bring their own camera or smartphone and any equipment they like to use for photos and video.
Who handles cleanup and load-out?
The Underline handles venue cleanup. Sponsor teams and the Load-Out Crew collect all BHA, sponsor, and vendor items after doors close at 7:30 PM. Bring a wagon to help move your materials.
What about parking and getting there?
We recommend using rideshare or public transportation to get to the celebration.
Is there a restroom nearby?
Yes, there is a public restroom nearby.
What should I wear?
Costumes are highly encouraged! Wear comfortable clothing for an outdoor event. We get some shade from the nearby condominium buildings and The Underline.
